Fyle for accountancy practicesClient files your team and its AI agents can share safely

Practices keep client documents, working papers and correspondence in shared folders that several people touch in busy periods. Fyle is a desktop drive built so that people and AI agents can work in those folders without overwriting each other, and with a record of who changed what.

Fyle here is a file system for working documents. It is not the expense-management product once called Fyle, which is now Sage Expense Management and unrelated.

Shared client folders break at the busiest moments

Two people open the same working paper during a deadline and one set of edits is saved over the other, or a conflicted copy appears that nobody notices until review.

AI assistants can now read a client’s documents and draft queries, schedules and summaries. But giving an agent write access to a shared drive usually means it writes straight into files a person is responsible for, with nothing between the agent and the client file.

How Fyle fits

Fyle is in development. This is what exists today and what is planned, marked on every line.

Available now

  • Organisations with roles: owner, admin, billing, member and viewer.Available now
  • Two-factor sign-in with an authenticator app, which an organisation can require for everyone.Available now
  • Organisation security policies: maximum session age, idle time-out and how often desktop devices must sign in again.Available now

Planned

  • Client folders mount in Finder and File Explorer, so spreadsheets and PDFs open in the apps your team already uses.Planned: desktop launch
  • A save based on an older version becomes a branch instead of overwriting a colleague’s work.Planned: desktop launch
  • Agents run in their own session with access only to the folders you grant; their changes land on current files or wait for review.Planned: agent layer
  • Review rules route changes, for example anything in /working-papers/ to the engagement manager.Planned: review
  • Every version records the person, device and agent session behind it.Planned: desktop launch

An agent at work

The agent reads both years’ folders, writes a list of missing documents and drafts a client request. It also edits the index of working papers, which a manager changed while the session was running.

$ cd ~/Fyle/clients/harlow-ltd
$ fyle agent claude --task "Compare this year’s working papers with last year’s and list missing client documents"

Session ended · 3 changes
  requests/missing-documents.md new
  requests/draft-client-email.md new
working-papers/index.xlsx branched (edited by a manager during the session)
2 files landed. 1 branch waiting for review by @engagement-managers.

Client confidentiality and personal data

  • Confidentiality is one of the fundamental principles in professional codes such as ICAEW’s Code of Ethics. Fyle’s planned controls help you limit who, and which agents, can open each client’s folder; they do not replace your own policies.
  • Client records usually include personal data, so UK GDPR applies. Fyle plans to publish a data processing agreement and its list of subprocessors.
  • Agents get scoped, short-lived access to the folders a person grants, never a person’s own session (planned).
  • UK-only workspaces, with your own UK bucket and a UK-hosted coordinator, are planned for Enterprise.

Not legal advice. Fyle features mentioned here are planned unless marked available now.
